1. Who is responsible
VoIP Associates LTD operates VoipAgent and is the data controller for the data described here. Contact: hello@voipagent.dev.
2. What we process, and why
- Account data — names, emails, credentials (passwords stored hashed): to provision and secure access.
- Call records (CDRs) — numbers called, timestamps, durations, rated cost: to operate and bill the service. This is the core of the product; a metered service cannot run without them.
- Call audio and transcripts — where a workload requires it (AI calling, translation), audio is streamed to the speech and language providers that power the feature; recordings, where enabled, are stored for campaign review.
- SMS content — stored to deliver and display message history.
- Operational logs — service logs including IP addresses: to run, secure, and debug the platform.
3. Subprocessors
Traffic is carried and processed by telephony carriers and AI providers under their own terms — currently carriers for call and SMS delivery, and speech/language-model providers for AI calling and translation. We pass them the minimum the feature requires (signaling, audio streams, message content).
4. Retention
Call records are retained for billing reconciliation for as long as the account relationship plus applicable bookkeeping periods require. Call recordings are rotated out after 30 days. Other data is kept while the account is active and deleted on verified request where no billing obligation depends on it.
5. Your rights
Ask us at hello@voipagent.dev to access, correct, export, or delete data we hold about you or your account. Billing records that the law requires us to keep are excluded from deletion until their retention period ends.
6. Security
Consoles are served over HTTPS; passwords are stored hashed; sessions are revoked on password change; internal services are not exposed to the public internet. Report security issues to hello@voipagent.dev.
7. Changes
Material changes to this policy are announced to account contacts before they take effect. The date above reflects the current version.
